A loyalty program for hair salons and barbershops: why recognition works

A barber finishes a haircut while a regular holds a phone with a recognition card

The short answer

At a hair salon or barbershop, a regular customer comes every few weeks, so a punch card of "the tenth haircut is on us" takes almost a year. A recognition card counts visits with no goal and no reward, and shows the customer how long they have been with you. Each barber records the visit from their own phone, and you see the pace of every regular.

Why a punch card with a reward does not always fit a salon

At a cafe, a regular comes several times a week. At a hair salon, they come once every few weeks, depending on how fast their hair grows. That is a small difference at the register and a big one for a loyalty club.

Take a normal punch card with a reward after ten visits. A customer who gets a haircut once a month reaches the reward after almost a year. By then they have forgotten they have a card, or the card stayed in their old wallet. And if they do get there, a whole free haircut is not a small cost for a salon with one or two chairs.

You can lower the goal, but then another question comes up: does the customer even come for the reward? In most cases, no. They come because the barber knows them, knows how they like the sides, and they do not need to explain it again every time.

What a recognition card is

A recognition card counts visits, with no goal and no reward at the end. Instead of "3 more visits to your reward", the card in the phone's wallet shows the customer how long they have been with you and how many times they came.

There is nothing to redeem here, so there is nothing to calculate either. You do not give up income, and you do not need to decide whether the reward is a haircut, a beard trim or a hair product. The card simply remembers for you.

Why recognition works at a salon

You will not find percentages here. The logic is simple, and you can test it with your own customers.

  • The relationship is personal. A salon customer chooses a barber first, and only then a place. A card that says "With us for two years" speaks to that relationship, not to a discount.
  • Recognition feels better than a distant reward. Seeing the number go up after every haircut gives a sense of progress, even with no prize at the end.
  • There is no moment of "it is over". With a reward card, after redeeming you start from zero. With recognition, the number only goes up.
  • You get information. Even with no reward, every visit is recorded with a date, and you see who comes and when.

This does not mean recognition fits every salon. If your customers are young and come every two weeks for a short cut, a punch card with a reward can work well. The table helps you decide.

The rows are general, and the numbers in the card column are for illustration only.

What the customer sees"With us for two years, 27 haircuts""3 more visits to your reward"
What it costs youNo rewardA reward every time someone reaches the goal

What happens at the endThere is no end, the number keeps going upRedeeming, and then a new card from zero

Want both? You can keep two punch cards on one card, for example a recognition card for haircuts and a punch card with a reward for hair products.

And what about a barbershop

At a barbershop, the same customer sometimes has two different paces: a haircut every few weeks, and a beard trim more often. In that case you can split them: a recognition card that counts haircuts, and a short punch card with a reward for the beard. Each one counts separately, and the customer sees both on the same card in the wallet.

Just do not rush to open two. A club with one rule is easier to explain in the chair. If after a month you see that customers come for the beard much more than for the haircut, that is the time to add a second punch card, with a reward.

A barber for every chair: how a visit is recorded

At a salon with several chairs, there is no single register that everyone passes through. Each barber finishes the haircut at their own chair, so the recording needs to happen there too.

  1. The customer shows the card in the phone's wallet.
  2. The barber scans it with their own phone. The scan only identifies the customer.
  3. The barber taps the button, and only then is the visit recorded.
  4. The card in the wallet updates, and the customer sees the new number.

The customer forgot their phone? Find them by number. Reception dropped? The visit is saved and sent when it comes back. And if you prefer one phone by the register, that works too: one phone at the register, and each staff member picks their own name.

A team that changes

Salon teams move: a new barber joins, someone leaves, someone changes phones. You send a new barber an invitation on WhatsApp, and they install the scanner. A shift manager can add a staff member or replace their phone when you are not there.

And when something is recorded by mistake, it is cancelled with a reason, and you see who cancelled it. At the end of the day you see what happened today, by staff member.

The pace of every regular

The hardest thing to see at a salon is a customer who stopped coming. They do not announce it, do not complain and do not cancel an appointment. They simply do not book the next one, and you notice months later.

Every customer has their own page in the portal, with all their visits. When the dates stand one under the other, their pace is clear at once: every three weeks, every month, or once a season.

Every customer's page also has a note that only you see. That is where you write what the barber remembers by heart: clipper number on the sides, prefers scissors, does not like to chat in the morning. A new barber who gets this customer knows where to start.

For the salon as a whole, you see on which days and hours club members come, and who joined last month and came back. This helps you decide, for example, on which day it is worth having two barbers on shift.

What to do about a customer who did not come back

Do not send them an advertising message. Shortip does not send advertising by SMS to your customers, and someone who did not agree to receive advertising should not get it from anyone.

  • Ask their barber. Sometimes they already know: the customer moved, traveled, or started working shifts.
  • When they come back, tell them they were missed. One sentence in the chair is worth more than any message.
  • If several regulars of the same barber disappeared in the same period, that is information worth paying attention to.
  • In the customer's birthday month, the card reminds them of the treat you chose. It is a gentle way to remind them you are there.

How to start at a salon, step by step

  1. Choose a kind: a recognition card, a punch card with a reward, or both on one card.
  2. Design the card with the salon's colors, logo and stamp.
  3. Invite each barber on WhatsApp, and they install the scanner on their phone.
  4. Hang the counter sign by the mirror or by the register. The customer scans, types a phone number and gets a code, and there is no app to download.
  5. A customer with an old paper punch card? Move their visits over, with your approval.
  6. After a month, open the list and check: who joined, who came back, and which barber signed up the most people.

Frequently asked questions

Do I have to give a free haircut?

No. A recognition card counts visits with no goal and no reward. If you like, you can also have a punch card with a reward, or both on one card.

Does every barber need a special device?

No. Each barber stamps from their own phone: they scan the card and tap the button. You can also use one phone at the register, and each staff member picks their own name.

How do I know a regular has stopped coming?

The customer list has a filter for who has not come back. On each customer's page you see all their visits by date, and from there you see their pace.

The customer changed phones. Are the visits lost?

No. The card is restored with a code, and the visits stay.
